Conditions for Conferences

1. Deposit

A booking fee must be paid as soon as the Kaniki Office has confirmed the booking request. 
This fee is 10% of the expected cost, but no less than 200,000 kw.
If the conference is cancelled two months before the conference, 50% of the deposit will be paid back. 
If the conference is cancelled one month before the conference, 25% of the deposit will be paid back.
If the conference is cancelled within one month before the conference, the deposit will not be paid back.

2. Registration

All participants at the conference must be registered. The Kaniki Staff/crew may be of assitance. A copy of the list must be brought to the office. 

3. Handing Out of Keys

Upon arrival of the group leaders the Camp Master will hand out a site plan and keys for the buildings that have been booked. 
All keys have to be brought back before departure

4. Instructions

Rules have been put up in all rooms, but they should also be read to everyone at the conferences. There should be no noise between 23.00 – 05.00 hrs. We want to maintain a good relationship to our neighbours within and outside the College

5. Damages

The group has to report if there have been any damages, and will be charged for it. The Camp Master will check all rooms, before the group leaves. 
Any charges for damages will be deducted from the deposit at departure. If the charges for damages exceed the deposit, this has to be paid cash before departure.

6. Gate Opening Hours

The conference leaders must inform us in advance, if the gate has to be open outside normal opening hours (6.00 – 21.00 hrs). Any extra hours will be charged by 10,000 kw per hour.

7. Generator

In case of power cuts the generator will be on from 18.30 – 20.00 hrs. If you want it turned on outside these hours the cost will be 75,000 kw per hour.

8. Payment

Full payment for the conference must take place before departure. See rates.

9. Tuck Shop

The KC Tuck shop opening hours can be agreed on with the tuck shop manager upon arrival. Please let us know before arrival, if you want the tuck shop open

10. Beddings

Beddings and towels can be provided at a cost of 22,000 kw per stay – regardless of number of days.
If the towel and bedding need to be changed during the stay another 22,000 kw must be paid.
If bringing children we can provide plastic sheets for the bed.

11. Toilet tissues

Toilet tissues will be provided. 

12. Kitchen

You are expected to bring your own food and you own kitchen Staff/crew. In case you need some assistance from the College it must be arranged before the conference. 
Pots and pans as well as cups and plates are available (although very big groups are advised to supplement with their own). 
Unless you use our kitchen staff the cooking has to be done using charcoal (or in case of power cuts). Charcoal can be ordered in advance. The price per bag is 22,000 kw.
